Terms & Conditions

By booking a session, camp, programme, or event with Valleys Rugby Academy, you agree to the following Terms & Conditions. These apply to all participants and parents/guardians.

Bookings and Payments

  • All sessions must be booked in advance via the official booking platform.
  • Full payment is required at the time of booking unless otherwise agreed in writing.
  • A place is only secured once payment has been received.
  • Valleys Rugby Academy reserves the right to refuse or cancel bookings at its discretion.

Cancellations & Refunds

Participant Cancellation

  • Cancellations made more than 7 days before a programme or camp may be eligible for a credit or refund (minus any booking fees).
  • Cancellations within 7 days of the session, camp, or programme are non-refundable.
  • Missed sessions are non-refundable and non-transferable.

Academy Cancellation

  • In the event of cancellation due to weather, facility issues, or unforeseen circumstances, an alternative date or credit will be offered.
  • If a suitable alternative cannot be provided, a refund may be issued at the Academy’s discretion.

Medical & Emergency Information

  • Parents/guardians must provide accurate and up-to-date medical information at the time of booking.
  • It is the responsibility of the parent/guardian to inform the Academy of any changes in medical condition.
  • In the event of illness or injury, qualified first aid will be administered and emergency services contacted if necessary.

Health & Safety

  • All participants must wear appropriate sports clothing and footwear.
  • Gum shields are strongly recommended for contact sessions.
  • Valleys Rugby Academy follows appropriate safeguarding and health & safety procedures at all times.
  • Players must follow coaching instructions to ensure a safe training environment.

Behaviour

  • Valleys Rugby Academy promotes respect, discipline, and positive behaviour.
  • Bullying, disruptive behaviour, or unsafe conduct will not be tolerated.
  • The Academy reserves the right to remove a participant from sessions without refund if behaviour standards are not met.

Photography & Media

  • From time to time, photographs or videos may be taken for promotional and marketing purposes.
  • Parental consent will be obtained during booking.
  • If consent is not provided, your child will not be featured in promotional material.

Liability

  • Rugby is a contact sport and carries an inherent risk of injury.
  • By booking, parents/guardians acknowledge and accept this risk.
  • Valleys Rugby Academy holds appropriate insurance but accepts no liability for injuries sustained during participation unless caused by proven negligence.

Personal Property

  • Valleys Rugby Academy accepts no responsibility for loss or damage to personal belongings.

Data Protection

  • Personal information is collected solely for booking, safety, and communication purposes.
  • Data will not be shared with third parties except where required by law.

Changes to Terms

Valleys Rugby Academy reserves the right to amend these Terms & Conditions at any time. The latest version will always be available via our booking platform.
